Responsibilities 

  • Oversee daily operations through collaboration with mainly three different department leaders, performing an array of administrative tasks from managing calendars, generating correspondence, maintaining hard copy and electronic files, planning and coordinating annual corporate meetings, and scheduling facilities 
  • Build and develop relationships with all employees for increased efficiency and effective responsiveness into existing operations 
  • Manage travel arrangements and detailed travel itineraries, as soon as travel picks up again 
  • Collect and prepare information for meetings with internal team members and outside parties 
  • Document and summarize meeting minutes 
  • Produce reports and presentations 
  • Maintain the current filing and database system, and look for ways to improve current systems 
  • Support and Manage employee appreciation initiatives 
  • Setup and manage new and existing offices and maintain and office setup that optimizes workflow 

Qualifications 

  • Bachelor’s degree preferred, but not required 
  • 5-7 years’ experience as an executive assistant  
  • High interest in Biotech, the drug development business and Venture Capital 
  • Highly resourceful and able to handle complex and competing schedules of Executives  
  • Exceptional communication skills in German (C1+) and English
  • Ability to handle a high volume of work with a sense of urgency without letting quality slip 
  • High sense of empathy with an outstanding ability to work multi-culturally
