We are seeking an experienced On-Site Executive Assistant to join our team. With 7-10 years of prioritization and calendar management expertise, you'll be the linchpin in ensuring our leaders are relieved from constantly juggling their schedules and their daily activities.

Responsibilities:

  • Calendar Management: Take charge of organizing and maintaining calendars for our leaders, ensuring smooth scheduling and prioritization of meetings.
  • Strategic Coordination: Work closely with leaders and cross functional groups to align schedules with company objectives and strategic priorities.
  • Proactive Planning: Anticipate scheduling conflicts and changes, handling them swiftly and calmly.
  • Effective Communication: Serve as the main point of contact for calendar-related matters, communicating changes clearly and promptly to internal team members and clients.
  • Travel Logistics: Coordinate travel arrangements seamlessly, integrating them into executives' schedules with ease.
  • Technology Utilization: Harness the power of calendar tools to streamline processes and enhance collaboration among the business units.
  • Process Enhancement: Identify areas for improvement in calendar management procedures, proposing and implementing solutions.
  • Confidentiality and Professionalism: Handle sensitive information with discretion and uphold professional standards.

Basic qualifications

  • Proficiency in calendar software and office tools.
  • Strong organizational and communication skills.
  • Ability to maintain composure and adaptability in a dynamic environment.
  • Entrepreneurial, open-minded behavior and can-do attitude. Think and act fast with the customer in mind!
  • Authorized to work in the US and start immediately.

Required Experience

  • 5+ years of combined administrative and coordination experience

Preferred Experience

  • Previous experience in facilities management and human resources a plus.

The base salary range is $120,000 – $180,000. Your base salary will be determined based on your location, experience, and the pay of employees in similar positions.
