Operations Associate Job Description

The Operations Associate will primarily support the Operations and Finance functions and will report to the Finance Director and Business Operations Director. This role will drive operational excellence and consistency across the Operations/Finance team. The Operations Associate candidate will work closely with project sponsors, staffing leads, Finance Director and Director of Operations.

 

This role requires a team player who thrives in a fast-paced deadline driven environment, has a keen eye for detail, and takes a proactive approach to problem solving. Willingness to take on challenging ambiguous tasks and administrative tasks with equal vigor and interest.  The ability to work independently and juggle multiple projects and workstreams simultaneously, is critical to the success of this role.

 

Core responsibilities will include:

  • Submitting resource requests received from project sponsors in a timely manner (within 48 hours of receipt) in FinancialForce, while crosschecking that rates leveraged, dates specified, etc align with existing record
  • Confirming entry of resource requests to project sponsors & notification if bookings validation is required to proceed; tracking and analyzing trends in bookings validation requests on a monthly basis
  • Maintain opportunity pipeline in FinancialForce; working closely with project sponsors to ensure opportunities are kept up to date
  • Track and follow-up with Project Managers that all signed Agreements are received and appropriately stored
  • Identify raise tickets on system issues; escalate as necessary
  • Responsible for creating and maintaining project billing milestones
  • Assist in ad hoc report, dashboard creation, and any required data pulls and analysis
  • Manage & analyze pulse surveys + complete necessary follow-up correspondences with Pod leaders to ensure raised issues are addressed; track and manage pulse data over time for review in various forums (monthly, quarterly, and yearly basis)
    • Create required datasets related to Pulse surveys for discussion in leadership committee meetings, as well as firmwide updates (e.g., results by practice area, geography)
  • Run monthly reports to identify those who need to be contacted for time entry or expense entry issues

 

Qualifications:

  • 3-4 years related experience, preferably in a Professional Services environment
  • 1-2 years’ experience in FinancialForce or other PSA system preferred
  • Organized, detail-oriented, and competent follow-through skills
  • Ability to prioritize and multi-task in a fast-paced environment while meeting deadlines
  • Ability to execute activities within complex processes
  • Proficiency in Microsoft Office suite - Word, Excel, and PowerPoint and online collaboration tools such as SharePoint and Teams
