The ideal Benefits and Wellbeing Manager is a super communicator that is able to articulate very detail-oriented information to an audience of people in a way that is both captivating and memorable.  We’re looking for a person to partner with our brokers, vendors and internal stakeholders in executing all benefits processes including plan renewals, benefits open enrollment, new plan implementations, annual filings, audits and other benefits activities.

What you’ll do

  • Lead Open Enrollment, including Benefits Administration, data accuracy of benefit information, benefits event planning, program renewals, communications, and API file feeds.
  • Manage relationships with brokers, consultants, insurers and vendors to ensure timely customer service and accurate cost-effective plan administration.
  • Demonstrate deep knowledge and experience with the US healthcare market (including value based care, self funded plans, healthcare access strategies) to build innovative health plan strategies focusing on the health and mental wellbeing of our population and employee experience.
  • Lead day-to-day activities related to benefit programs including medical, 401(k) plan, time off plans (leave of absence), dental, wellness, life insurance, etc. Ensure that programs are aligned with current regulations and support Articulate’s HCO framework.
  • Lead and identify strategies and resources to improve employee communication on education on the value of our benefits. 
  • Lead the development and implementation of our wellbeing programs, analyze employee wellbeing requirements, monitor and advise on wellbeing trends
  • Process accurate and timely submission of employee 401k deferral changes and contributions into the plan
  • Manage our Leaves of Absence program. Consult with People Partners on complex leave issues.
  • Work closely with internal partners (legal, finance, payroll, analytics etc) to ensure accurate and on-time delivery of benefits programs.
  • Ensure compliance with all government regulations, including ERISA reporting and disclosure requirements, FMLA, COBRA, HIPAA, FLSA, IRS, DOL, Health Care Reform, non-discrimination testing, transparency and mental health parity regulations.
  • Manage 401K 5500 audit.
  • Document and maintain administrative and compliance procedures for assigned benefits processes
  • Coordinate benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, etc.
  • Oversee maintenance of employee benefits files, and performs monthly benefits reconciliation
  • Survey industry trends. Complete benefits surveys and review information obtained from the results. Analyze complex benefits information. Forecast trends and assist with future benefits designs.  Assists with the development of specific recommendations for review by management
  • Performs quality checks of all benefits-related data
  • Partner cross-functionally to compile data for various benefits and compliance audits
  • Respond to employee inquiries and requests regarding benefits related matters in a timely manner in the People Team’s request slack channel.

What you should have

  • 8+ years HR / Benefits experience
  • Experience in building benefit programs that  address structural economic and social disparities and support the whole human at work 
  • Experience in building market competitive benefit programs that provide an exceptional employee experience within a high-growth technology company.
  • Strong knowledge and understanding of benefit plan administration in multiple systems (e.g. Paylocity, Benefits Administration, COBRA)
  • Strong knowledge of leave benefits administration nationwide.
  • Proficient in MS Excel (VLookups, Pivot tables, and other formulas) and Google Sheets
  • Team player with the ability to work collaboratively with cross-functional partners across the organization
  • Working knowledge of federal and state regulations, filing and compliance requirements affecting employee benefit programs
  • Process improvement mentality and ferocious curiosity
  • Strong systems knowledge, including the ability to quickly learn new systems
  • Knowledge and mindset for automation and improvements to streamline processes for scalability
  • Strong communication and analytical skills
  • Excellent organization skills with attention to detail and completeness
  • Ability to work independently with minimal supervision, as well as ability to collaborate closely with other teams remotely
  • Excellent problem-solving skills and judgment
