Meet the team:

Service Administrators are an important part of the operation of the Service Department and are primarily responsible for the data gathering of all department records and processes. Service Administrators will primarily spend their time supporting the back end of the operation through regular reviews and audits of Service Technician Work Order documentation, development and presentation of metrics as needed or requested, and development and continuous audits of processes as it pertains to documenting performed work, inclusive of labor booking and parts usage. Service Administrators are required to have a technical fundamental automotive understanding and be knowledgeable on department metrics and will support the Service Technician and Management Team in daily operational functions.

What you’ll do: 

  • Audit and Process Service Work Orders daily on a timely basis for multiple operational locations
  • Process all Service paperwork for accuracy and completeness
  • Maintains inventory management system; Creates and enters required parts and audits work order for correct part usage
  • Develops and maintains reports capturing department metrics
  • Re-submits work orders and works with technicians to ensure accurate corrections are made
  • Reconciles purchase order reports against delivered invoices from the respective vendors
  • Reconciles operational expense reports against provided vendor invoices
  • Supports categorization and tracking of logistical needs as it relates to parts
  • Keeps up with manufacturer recalls and works with the Service Manager to implement fleet wide actions as required
  • Supports department reporting needs as requested from Service Manager or external teams
  • Collaborates with Fleet Management software provider for continuous iteration and improvement to system
  • Trains and mentors new employees
  • Assists in developing Service Manual database with accurate categorization of documents
  • Supports creation of Service Manual instructional documentation for metric booking purposes

What you'll need to succeed:

  • 4+ years of experience as a Service Advisor or Warranty Administrator
  • Demonstrate advanced proficiency in reporting via Google Docs and Google Sheets
  • Ability to construct concise reports based on department data and communicate effectively
  • Strong documentation skills
  • Proper punctuation and grammar
  • Moderate to advanced computer skills

Nice to haves:

  • Successful completion of an automotive training program in a National Automotive Technicians Education Foundation (NATEF)-certified high school or community college is preferred
  • Professional certification from the National Institute for Automotive Service Excellence (ASE) is preferred
  • Bachelor's Degree from a four year college or university is preferred
  • Passion for new technology and continuing education
