Brief Overview:

As a Project Analyst, you will report to the Director of Product Operations and play a central role in coordinating our technology delivery strategy on the Operations, Enablement, & Solution Delivery team (OES). Working closely with technology delivery leadership, you will coordinate meetings and facilitate decisions to optimize how we work as an organization. You will have two main responsibilities: 1) support team collaboration and progress via documentation, project coordination, and meeting facilitation; 2) support team leadership with administrative support via planning, calendar management, expense reporting, etc.

You will play a key role in our organization, facilitating planning ceremonies, managing leadership calendars and expenses to optimize time and budget, and initiating documentation to support decisions and collaboration cross-functionally. You see the big picture, while managing the details needed to drive daily progress.

Core Responsibilities:

Internal project coordination & information exchange

  • Ensure the OES team is corresponding efficiently synchronously and asynchronously. You will manage meeting hygiene, email follow-ups, meeting outcomes and next steps for the OES organization
  • Partner with OES leadership to assist with team planning ceremonies and subsequent roadmap communications or distribution
  • Communicate with internal teams to identify and define requirements, scope and objectives for various OES projects and intake requests
  • Oversee OES documentation including organizational documentation, meeting notes, and priorities
  • Ensure projects adhere to frameworks and all documentation are maintained appropriately for each project.
  • Prepare presentations and coordinate across the team
  • Process documentation
  • Prepare cross-functional communications
  • Coordination of status updates for internal OES initiative progress

Team Coordination

  • Manage the calendar for the OES executive leader
  • Provides as necessary administrative support for travel arrangements.
  • Manage executive expense reports
  • Coordinate with internal auxiliary teams (HR, Finance) to ensure OES team internal team needs are met
  • Coordinate team events, including budget estimation, team outing reservations, meals, and vendor coordination to support team events.

Qualifications:

  • 3 years of work experience
  • Executive presence
  • Ability to troubleshoot and learn new technologies
  • Ability to collect and evaluate data from multiple sources
  • Experience managing meetings, documenting outcomes, and coordinating next steps
  • Experience submitting expense reports, managing expenses, working with vendors, and organizing team outings or meals
  • Experience working in a Software/SaaS or Operations environment, as an Executive Assistant, Business Analyst, or Project Coordinator
  • Experience with Microsoft Office Suite (Outlook, Excel, One Drive, PowerPoint)
  • Worked in small, start-up environments as well as larger, more professional environments with the savvy to know how to best scale and build organizational capabilities, processes and tools
  • Outstanding organization and communication skills, both written and verbal
  • Passionate team player who is dedicated to the growth and development of the company, product, team, and individual

The typical base salary range for this position is $64,080 - $88,110.  The actual salary offer will ultimately depend on multiple factors including, but not limited to, knowledge, skills, relevant education, experience, complexity or specialization of talent, and other objective factors.  In addition to base salary, this role may be eligible for an annual bonus based on a combination of company performance and employee performance. Long-term incentive and short-term variable compensation may be offered as part of the compensation package dependent on the role. Some roles may be commission based, in which case the total compensation will be based on a commission and the above range may not be an accurate representation of total compensation.
