About the Role 

As the Senior Programs  Lead at The AI Education Project (aiEDU), you will play a pivotal role in advancing AI literacy by strategically implementing and managing our programs in collaboration with school districts. In this multifaceted position, your primary focus will be on fostering robust relationships with school districts on the west coast, understanding their unique needs, and ensuring the effective delivery of AI literacy education.

You will be the key liaison between aiEDU and our partner school districts. Your responsibilities include not only coordinating with internal teams, such as Professional Development (PD) trainers, the learning team,  and leadership but also tailoring our resources and strategies to meet the specific requirements of each district.

This position goes beyond being a Programs Lead; it's a commitment to shaping the future of education in a world increasingly integrated with AI technology. By taking on the role of an Programs Lead, you will significantly contribute to meeting contractual objectives, fostering organizational growth, and furthering our mission of enhancing education through innovative services and content.

Role Details

  • Location: Ideally this person will reside in California to serve our Partners in the specific region. We will consider candidates from neighboring states but precedence will be given to California based candidates. 
  • Travel: 30% of your time will be spent traveling
  • Compensation: The baseline compensation for this role is $125,000

Your Responsibilities:

Partnership Management  - 40%

As the Programs Lead, a primary part of your role will involve engaging directly with district and school staff and educators to conduct a variety of professional development programs, including workshops and seminars. You will work with both teaching and administrative staff, context-switching between audiences as needed to ensure our audiences receive a well-rounded, impactful educational experience that aligns with their needs. Additionally, you’ll closely collaborate with central office staff at the district level to identify specific training needs for which aiEDU has an aligned offering, and advocate generally for AI literacy and professional development program.

Advisory Work - 20%

For nearly all K12 schools, AI literacy is a new concept without existing structures for us to utilize. As such, an important part of this role involves building relationships with administrative teams to provide strategic guidance and shape district-level strategies with regards to student curriculum and staff professional learning. You'll play a key role in coordinating discussions with administrators to guide them through the various types of trainings that their staff need. You'll serve as the go-to liaison between district partners and our Professional Development Team experts, ensuring that our partners stay 'in the loop' with developments in the AI space that are relevant to them. This collaborative approach demands big-picture thinking, requiring a comprehensive understanding of the district's structure, identification of the right individuals for collaboration, and facilitation of effective communication within the district.

Content Distribution - 15%

You will lead the effective implementation of the curriculum within partner schools. This entails creatively managing diverse distribution channels that extend beyond training, ensuring the widespread dissemination of educational content throughout the district. Your innovative approach may involve leveraging various resources and channels within the districts to reach all corners, tailoring the content distribution strategy to the unique needs and capabilities of each educational community. Your creativity in content distribution will be instrumental in ensuring our educational programs make a meaningful impact across diverse learning environments.

Report Building/ Data Collection - 15% 

As the Senior Program Lead, A primary responsibility will be to create comprehensive dashboards that track the progress of our contracted work with school districts. This involves collecting and analyzing data in collaboration with districts to ensure accurate and up-to-date information. Specifically, you'll develop reports that serve as dynamic tools for monitoring the implementation of various initiatives. For example, if our commitment involves training teachers, you'll track metrics such as the number of teachers trained, types of training attended, and other relevant details. Similarly, for content distribution, you'll quantify the usage of our curricula within a district.

Your role will extend beyond mere data collection; you'll be instrumental in working closely with districts to understand their needs and ensure accurate data gathering. The generated reports will not only keep our internal team informed but also play a crucial role in crafting Impact reports for school districts. These reports will emphasize the assessment of how our educational programs are influencing and enhancing the learning environment within these districts. Leveraging data insights, you'll provide well-informed recommendations for internal strategy improvements, thereby further enhancing the effectiveness of our initiatives.

Cross Team Coordination  - 10% 

As a key member of our team, you will take on the crucial role of managing the implementation of projects and initiatives across both the Learning Team and the Partnership Team. Instead of direct involvement in the day-to-day execution, your responsibilities will center around ensuring seamless alignment between these teams, actively communicating and collaborating to harmonize and complement all efforts.

Your role involves facilitating the exchange of information, sharing insights, and fostering a coordinated approach to guarantee the effective implementation of our educational programs. You will be managing the process, working to optimize resources, streamline procedures, and drive successful execution. This cross-team coordination is pivotal for achieving our organizational goals. Your collaborative efforts will contribute significantly to the overall effectiveness and cohesion of our initiatives, ensuring that projects are not only planned but successfully carried out with precision and impact.

Your Impact: 

Within 1 Month, You Will: 

  • Complete our internal training program and begin to develop mastery of aiEDU content. This includes understanding the intricacies of our educational offerings, enabling you to effectively guide school districts in developing strategies that align with their distinct needs
  • Schedule and conduct introductory meetings with school districts to establish initial rapport and understand unique needs. The focus of these meetings will be to gain a thorough understanding of each partner's educational goals and needs, contributing to the creation of detailed records and a comprehensive partner engagement report.
  • Develop a systematic approach to facilitate ongoing communication and collaboration between the Learning Team and Partnership Team, ensuring that all efforts are strategically aligned to prioritize and enhance the success of our partners in the implementation of our educational programs.

Within 3 Months, You Will: 

  • Compile detailed records from the initial Partnership Kickoff Meetings and use the gathered information to create a comprehensive partner engagement report. This report should provide insights into the specific educational goals and needs of each partner district, facilitating the tailoring of strategies for maximum impact.
  • Take on a leading role in meetings with district administrators, becoming the primary point of contact. The objective is to strengthen relationships, thoroughly understand district goals, and serve as a crucial liaison between aiEDU and the districts. Your leadership in district partner engagement will be integral to the continued success of our initiatives.
  • Implement a structured process for school districts to communicate their levels of satisfaction and any issues they may be experiencing with aiEDU's offerings. Execute the established plan for a user-friendly feedback mechanism that encourages open communication. This involves creating surveys, feedback forms, or other channels for districts to express their experiences. Ensure the full implementation of this system within the third month, making it accessible, transparent, and designed to collect valuable insights that contribute to the ongoing improvement of aiEDU's educational programs.
  • Strategically develop a detailed plan for internal structures, focusing on impact reporting, training development, and scheduling processes. The aim is to establish streamlined and organized internal workflows that play a crucial role in the success and effectiveness of our educational initiatives. Your pivotal role in this process involves creating internal structures aimed at optimizing program delivery to school districts. 

Within 6 Months, You Will:

  • Have successfully implemented the process improvements and internal structures developed in the initial three months. This achievement involves seamlessly integrating these enhancements into daily operations, ensuring a smooth transition, and increased efficiency across the organization. Your role in this phase will be crucial in optimizing our processes for sustained success.
  • Become adept at utilizing detailed reports to provide strategic suggestions for both the Learning and Partnership Teams. Simultaneously, your role will have transitioned from a liaison to that of a Project Manager with district partners, overseeing projects and ensuring their successful execution. This transition reflects your growing proficiency in strategic decision-making and project management, contributing significantly to the success of our initiatives.
  • Enhance cross-team collaboration to optimize internal workflows and meet project goals. This involves actively working across teams to create a cohesive and collaborative environment that maximizes the impact of our educational programs. As the Programs Lead, you will be fully capable of delivering against the programs outlined in partner Memorandums of Understanding (MOUs), showcasing proficiency and competence in program delivery. Your collaborative efforts will play a vital role in achieving the outlined goals and objectives.

Within a Year, You Will:

  • Actively contribute as a member of a team to successfully deliver educational programs within a large number of districts. This collaborative effort will involve effective communication, coordination, and shared responsibilities to ensure program success across diverse educational environments. Your role within the team will be instrumental in achieving widespread impact and contributing to the overarching success of our initiatives.
  • Identify hiring needs within the West Coast Program’s Team and serve as the Hiring Manager responsible for filling those positions. This involves gaining a deep understanding of team dynamics, collaborating with stakeholders to define roles, and successfully managing end-to-end recruitment processes, contributing to the overall growth and success of the Programs Team.
  • Develop the ability to make clear and concise objectives and outcomes for teams. This includes creating a comprehensive strategy for the Programs Team, aligning objectives with broader organizational goals, and fostering a results-driven and focused work environment. Your strategic leadership will be integral in shaping the direction and success of the Programs Team.

  • Proven experience in leading education programs within a non-profit organization. This could involve overseeing and implementing educational initiatives, managing projects, and collaborating with various stakeholders to achieve program goals
  • Comfort with using and a willingness to learn AI tools. This includes familiarity with educational technologies and a proactive attitude toward integrating AI tools into educational programs.
