Description
We are seeking an experienced Proposals and Contracts Specialist who will be responsible for leading proposals and contracts through the development process, from initial request and drafting, to revisions, approvals, and finalization. As Aetion’s Proposals and Contracts Specialist, your mission will be to empower our Growth team to achieve their goals by organizing, helping to craft, and ensuring the quality of our proposals and contracts.
In general, we manage informal and official requests for proposals from customers and government entities in North America and Europe, and when the proposals are accepted, turn them into contracts. We are looking to improve and standardize our operations and turnaround time as our team continues to grow.
In the Proposals and Contracts Specialist role, you will ensure that proposals and contracts are well written and complete by the deadline, adhere to Aetion’s style and standards, and meet the customer’s specific requests. The ideal candidate is deadline-driven, organized, and detail-oriented. This role offers a tremendous opportunity to make a positive impact with a rapidly growing company and to work collaboratively with the Growth, Science, Data, Product, Marketing, Legal, and Finance teams at Aetion. The ideal candidate should have strong writing, proofreading, and editing skills and the ability to prioritize multiple projects, to communicate with key stakeholders, to think strategically toward the customers’ requests, and to execute in a fast-paced environment. We are looking for someone who will participate in the continuous improvement of our procedures and processes and is eager to learn.
Responsibilities
The duties for the Proposals and Contracts Specialist include:
- Communicating with Growth leads and monitoring Salesforce application for new proposal and contract requests
- Initiating set up of new proposals and contracts, including finding and inputting into templates the text and other materials relevant to the project and engaging group leads to write relevant sections
- Assisting with development of boilerplate language, templates, and revisions to templates
- Initiating and leading strategy and check-in meetings during the proposal and contract drafting process
- Editing, proofreading, and formatting of drafts and final versions in collaboration with the Growth lead and other group leads assigned to the project
- Accomplishing the required approvals for each project
- Ensuring each proposal and contract meets the individual project requirements and the deadline
- Inputting data on project progress using Salesforce and other applications for tracking and reporting purposes
- Uploading all final proposals and contracts into Salesforce and other document management systems
- Assist other teams across the organization with general requests for writing and/or locating specific language or information
- Other duties as assigned
Qualifications
Required
- 3+ years of experience developing proposals and contracts
- Demonstrated writing, editing, and proofreading experience
- Demonstrated project management experience
Preferred
- A Bachelor/Master degree in English, Communications, Journalism, Technical Writing, or related field
- Experience working within a healthcare, science, research, data, or related organization
- Medical writing experience
- Familiarity with the Chicago Manual of Style
- Familiarity with using Google Suite applications
- Experience using Salesforce
