Job Summary
As an executive assistant to the CEO, you will play a crucial role in supporting the CEO in managing their day-to-day activities and ensuring the smooth operation of the executive office.
This position requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously in a fast-paced environment.


Primary Responsibilities
● Calendar Management: Efficiently manage the CEO's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements. Prioritize and resolve scheduling conflicts to ensure optimal time management.
● Communication: Act as the primary point of contact for internal and external stakeholders, including clients, partners, and employees. Screen and prioritize incoming calls, emails, and correspondence, ensuring timely and appropriate responses.
● Meeting Support: Prepare meeting agendas, materials, and presentations. Attend meetings, take accurate minutes, and distribute them to relevant parties. Follow up on action items and ensure their completion.
● Travel Coordination: Arrange domestic and international travel itineraries, including flights, accommodations, and transportation. Anticipate and address any travel-related issues or changes.
● Document Management: Maintain and organize confidential files, records, and documents. Ensure proper documentation and filing systems are in place for easy retrieval.
● Event Planning: Assist in planning and coordinating company events, conferences, and executive retreats. Manage logistics, including venue selection, catering, and guest accommodations.
● Research and Analysis: Conduct research and compile reports on various topics as requested by the CEO. Provide insights and recommendations based on findings.
● Relationship Management: Build and maintain strong relationships with key stakeholders, both internal and external. Represent the CEO professionally and effectively in all interactions.


Requirements:
● Proven experience as an executive assistant or similar role in a fast-paced environment.
● Excellent organizational and time management skills.
● Strong attention to detail and ability to multitask effectively.
● Exceptional written and verbal communication skills.
● Proficient in using productivity tools such as Microsoft Office Suite and Google Workspace.
● Ability to maintain confidentiality and handle sensitive information.
● Strong problem-solving and decision-making abilities.
● Flexibility to adapt to changing priorities and work under pressure.
● Bachelor's degree in business administration or a related field is preferred.
