The role

The Workplace Team is responsible for providing the infrastructure and workspace of a modern working office for our Berlin Campus buildings and driving innovation across the international organization. As Associate Director Workplace  Operations, you will be part of the Workplace Team based in Berlin Kreuzberg, and report directly to our Director of Workplace Strategy. In this role, you will oversee the daily operations of our Berlin extended campus currently comprised of three buildings and You will lead the Workplace Operations, Front Desk Management and Facilities Operations teams to ensure best in class services and experiences for all employees while on campus.  Your role will be to create and maintain an environment where our employees enjoy coming to work in a professional, healthy, safe and welcoming environment.

Our team’s goal is to exceed employee needs, and in this role you will support this goal through workplace development. Your role is to oversee all aspects of campus management, campus operations and facilities while developing the space to reflect our corporate culture.

What you’ll do

  • Ensure all hard and soft facilities services and maintenance issues, requests and complaints are acknowledged and acted upon quickly and efficiently, and escalated where necessary.
  • Build roadmaps for all teams and design programs to enable a Best in Class workplace
  • Mentor and manage the Berlin Workplace team and help them grow into a world class organization
  • Create and Execute on Workplace related OKRs, development projects, stakeholder management, and ad hoc projects.
  • Develop and oversee the annual campus operations budget, optimizing resources and aligning financial planning with strategic objectives.
  • Prepare comprehensive financial reports for senior management, detailing budget utilization, cost-saving initiatives, and variances. Collaborate with Finance teams to align financial planning with strategic goals.
  • Ensure campus operations comply with all relevant regulations, safety standards, and company policies. Identify and mitigate risks related to facilities and workplace operations.
  • Foster strong relationships with internal stakeholders, including various teams and departments, to align workplace operations with their needs and expectations.
  • Define and track key performance metrics related to campus operations, using data-driven insights to continuously improve workplace experiences.
  • Own the space strategy that supports our growing in-person/hybrid remote workforce. Use data to drive your workplace development decisions.
  • Serve as the primary point of contact for our Berlin landlord(s) and be responsible for keeping the buildings well maintained, efficient and safe.
  • Design new processes and programs and improve upon the day-to-day experience for all employees through the analysis of Workplace data
  • Extend and translate our company's values into the daily operations and workplace environment, ensuring our campus is supportive and reflective of all backgrounds, cultures and working styles.

What you’ll bring

  • You bring 8 Years of experience in building and leading a high performing team
  • You have experience working in fast-growing companies and ideally in well established companies where you have developed best practices.
  • You have a strong foundation in customer service and experience managing stakeholder expectations.
  • You question the status quo, see challenges as opportunities rather than problems and positively encourage others to find creative problem-solving solutions
  • You make decisions based on rational reasoning and data and you are able to consolidate and present data confidently to senior management.
  • You have the ability to work independently as well as lead and motivate cross-functionally towards project goals
  • You thrive working in a fast-paced environment, energized to come to work to make an impact.
  • You are fluent in German (C2) and English (C2) and comfortable in reading German contracts and official document.
