Position Overview
The Payroll Assistant is responsible for data entry and setting up employees in our payroll system and is expected to demonstrate accurate keying functions in a timely manner. The Payroll Assistant processes BG payrolls as well as Non- Union Crew payrolls and assists with other payrolls as needed. They are responsible for importing membership lists. They are also back-up for the Operations Coordinator and will answer phone calls, prepare ROE’s, re- issue copies of T4’s, and prepare courier packages as needed.
Essential Functions
- Employee maintenance, deal memo setup, update address information, TD1’s, and agent information
- Process in-coming payroll, which includes checking the timecards are in accordance with all applicable Provincial, and Collective Bargaining Agreements
- Process BG, union and non-union payrolls as well as other payrolls as needed
- Accountable and responsible for quality service in assisting and servicing clients in regard to payroll production
- Maintain the client relationship as it related to the processing of the client’s payroll. This includes responding to questions and resolving payroll issues
- Verify HST accounts against the CRA HST Registry
- Verify union member status by referencing updated union membership lists
- Check timecard verification reports as needed
- Maintain accurate and acceptable files on each client/show, in accordance with company policy
- Back-up as needed for running tax credit reports
- Back-up as needed with preparation of union remittances
- Gain an understanding and becomes proficient in our system and digital products, including our onTime Product and HTG system
- Proficient knowledge and utilization of payroll database system. Should be familiar with applicable programs: invoice, batch, timecard editor; and reports: timecard verification, fringe, pencan, buyout and payroll history
- Performs other related duties and assignments as assigned
Requirements
- Proficient, accurate and timely data entry skills
- Ability to work towards team and individual goals
- Knowledge in Provincial Employment Standards
- Must exhibit sense of urgency with regard to client servicing
- Excellent PC skills
- Flexibility to shift priorities as needed to service the team’s clients
- Self-motivated, must be able to work independently, goal oriented and people oriented
- Must have a minimum of 1-year experience in payroll or data entry experience
- Strong communications skills with ability to collaborate with internal teams and clients
- Strong time management skills with ability to meet expectations and requirements of internal and external customers in a timely fashion
- Prioritizes and handles multiple demands
- Eliminates inefficiencies
- Excellent multi-tasker with attention to detail and ability to prioritize
- Schedule must be flexible to accommodate workload and client needs (overtime may be required)
